Importing Assets into iiQ

Guide Overview

The following article is designed to give administrators and agents with the import permission an overview of the following topics:

  • Manually importing and/or updating assets in Incident IQ through uploading a CSV file
  • Accessing incomplete pending imports
  • Reviewing completed imports

Importing your CSV File and Configuring the Import

You can access the asset importer page by clicking on Assets > Import Assets from the left navigation bar. If needed, you can download a template for uploading your assets on this page. Please note, the template only includes the default asset fields in Incident IQ. Any additional fields you want to include may be added to the spreadsheet and mapped to a custom field created in the Custom Fields section under Administration.

When you are ready to begin your import, you can drag and drop a file into the CSV file to import section.

Once your file has been uploaded, you will be taken to the first page of the importer where you will begin mapping the fields in your spreadsheet to fields in Incident IQ. Please note that at the top of the importer you will see a progress bar denoting which step you are on at all times. If you ever need to go back to a previous step in the import process you can do so by selecting it here.

You will need to begin Field Mapping process by selecting one of the following matching strategies:

  • Match By Asset Tag
  • Match By Asset Tag or Serial Number
  • Match By Serial Number

Additionally, if you want to run any asset rules while importing your file, you may toggle this option on from this page as well.

Any field added to the mappings will need to have a target field identified in Incident IQ. If the field has a green check mark next to it then the field is properly mapped.

You will be alerted to any fields that were not automatically mapped by the importer at the bottom of the page. To review these fields, simply click on Add Field Mapping. This will open up a window where you identify any additional fields that should be added to the import.

Once you have mapped all of the fields you want to import, click on Continue to Next Step.

At this point, depending on the fields mapped you may need to go through additional steps to map the following fields to values in Incident IQ:

  • Location
  • Model
  • Asset Status
  • Funding Source
  • Owner

Please note that if you did not map these fields in the Field Mappings step of the import, then you will not see a step to map them during your import. When going through each of these steps, please note that you can easily identify how many values still need to be mapped at the top of the page.

As with the Field Mappings step, you must confirm any mapped values in the Target value in IIQ field column during these additional mapping steps. You may click on any value to manually select what the field should map to.

This will open up a new window where you can search for and select the value you wish to map to in IIQ. Please note, each suggested option will be assigned a percentage based score of how likely the suggested value is the match you are looking for.

If you are currently mapping models and do not see your current model selection listed, you may create a model in this window by clicking on Create New. This allows you to create a new asset model directly in the importer without needing to open a new tab or window.

Please note, you will need to either map all values listed or skip them to continue each step of the process. When mapping the values, you can choose to accept all recommended values suggested by the importer, or accept their mappings individually.

Alternatively, if you do not wish to map any remaining values, you may choose to skip them by clicking on Skip Remaining instead. This will allow you to continue to the next step without mapping all values on this page.

Once you have saved, or skipped, your mappings on these pages, click on Continue to Next Step.

After all fields and values have been properly mapped in the importer, you will be taken to the import preview page. From here, you can review which assets will be created, updated, or skipped during the upload. If you need to make any changes, you can go back to the relevant step to do so. Once you are ready to begin the import, click Begin the Import Process.

Completing Pending Imports

The Asset Importer allows you to stop the import process at any time and resume the import process whenever needed. To access any pending incomplete import, simply navigate to the import in question and click Continue.

Reviewing Completed Imports

You may review any recently completed imports towards the bottom of the Asset Import page.

If you need to access a detailed report of what was created, skipped, or what fields were updated during a specific import, simply click Show Import Results to open the Import Results page.

Alternatively, you can click Download Results to log file of the import instead.
